Settings
The data check allows you to verify whether there are any duplicate abstracts or whether any optional attachments – such as images, tables or references – are missing from the submitted abstracts.
Note: It is particularly important to carry out the duplicate check before the review process begins. This will prevent identical submissions from being assigned to reviewers more than once.
Navigate to
> Settings
> Data integrity
Define scope: Choose whether to check all abstracts or only the already accepted submissions.
Select check criterion: Decide whether you want to search for duplicates or filter out abstracts that do not contain uploaded images, tables, or references.
Start check: Click the button
Show.

Search results
No dublicates found: The system displays the message: “No duplicates found”.
Dublicates found: A new window opens showing a detailed list of the affected abstracts.

The system distinguishes between two types of duplicates:
1. Identical abstract title: The title is exactly the same. This often happens when different people submit the same text or when an abstract is uploaded for two different presentation types.
2. High match rate: The abstracts have a strong similarity in content but differ slightly in their titles.
Compare abstracts
To compare the content of the abstracts that have been submitted more than once, open the preview by clicking on the linked Abstract title.
Withdraw duplicate abstract
Before assigning reviewers, decide which abstract should remain active.
Withdraw the duplicate abstract (Note: do not cancel/delete it).
Info: Withdrawn abstracts will not be included in the billing.
Communication: The system automatically notifies the submitter via email about the withdrawal. However, it is highly recommended that you, as the project manager, also communicate this decision personally.
