Create new user

User management


As the organiser, you can create users manually or import them from the "User" menu.
What profile data is collected and whether it is mandatory or optional depends on the event settings.

Info: Mandatory fields are marked with an asterisk (*).


Navigate to
> User
> Manage user

Click the Add New User button to open the user profile input form.

Step 1: Enter user details

1.1 Access details (for logging in to the system)

E-mail*
An individual e-mail address is required for each user so that they can log in to the system personally. Please note that email addresses must be unique.

If no email address is available for the user, a temporary dummy email can be entered here, e.g. dummy1@abc.com. All user details, including email addresses, can be edited at a later date.

You will be notified of a possible duplicate entry if you enter an email address that is already known to the system.

1.2 Personal data (salutation data)

Form of address*, title, first name*, last name*
In order to be able to generate a personal salutation for system emails, information on the form of address, academic title if applicable, first name and last name is required. A formal salutation is generated in emails, e.g. "Dear Dr Johannsen", "Dear Prof Mustermaier".

Other personal fields are optional or mandatory, depending on the previously defined configuration.

1.3 Correspondence language*

English, German
For bilingual projects it is possible to create cover letters in German and/or English. Please indicate the language in which the user should be contacted.

Step 2: Assign role

At the bottom of the page, you can assign one or more roles to each user. Possible roles are (depending on the project configuration):

  • Author

  • Invited speaker

  • Reviewer

  • Chair

  • Moderator

Step 3: Save your entries

You can use the following options to save your entries and create new ones:

  • Select Add to check your entries

  • Add and new to add another new user

  • Add and back to open the list view of all users

  • Reset removes all previous entries and reset the form
