Overview

This is an overview of how you can manage the review process.

Add missing abstracts

Before the assignment procedure, clarify whether certain contributions are missing. If this is the case, you can use this method to submit the missing contributions retrospectively.

See: Submit abstract at a later stage

Assignment

These assignment procedures can be used:

  • Automated assignment
    - All reviewers receive all abstracts
    - Assignment of all abstracts for one topic
    - Assignment of a maximum number of abstracts for all topics
    - Assignment of a maximum number of abstracts for specific topics

  • Manual assignment:
    - Assignment at abstract number level (Anleitungen)
    - Assignment at reviewer level (Anleitungen)

For automated assignment procedures, the initial assignment is made via Smart Abstract.

Replace reviewer

A person has cancelled their appointment at short notice and you would now like to replace them?

See: Add new reviewer
an: Assing at reviewer level

Change assignment by conflict of interest

If a reviewer is unable to evaluate an abstract due to a conflict of interest, you will find instructions here on how to assign the abstract to another reviewer.

See: Zuweisung bei Befangenheit eines Gutachters ändern

Extend deadline

Approximately 1-3 working days before the deadline, Smart Abstract will send a reminder to all reviewers who have not yet completed the evaluation 100%.

If the deadline has been reached but not all abstracts have been evaluated, you can use this method to extend the deadline.

See: Bewertungsdeadline verlängern

Export review results

Once the review process is complete, you can export the results in a variety of formats.

See: Ergebnisse exportieren

Record acceptance and rejection decisions

After the decisions to accept or reject have been made, they must be transferred to the system.
