Changes at reviewer level

Manuel Allocation

You would like to change the assignment of abstracts to a single reviewer because:

  • 1. Case: Replace reviewer
    The reviewer should be replaced.

  • 2.1 Case: Change assignment
    The abstracts assigned to a reviewer should be changed.

  • 2.2 Case: Change assignment due to bias
    The reviewer has a conflict of interest and an abstract needs to be reassigned.

Navigate to
> Abstracts & Reviews
> Manage abstracts
> Reviewers in process

In the view you will find the list of reviewers with information on

  • the number of abstracts assigned

  • the number of abstracts already reviewed

1 Case: Replace reviewer

Transfer or copy the assignment to another reviewer

  1. Step: Open the detailed view of the reviewer by clicking on the linked name.
    The new view shows an overview of the assigned abstracts.

  2. Step: Select the button Transfer or copy to different reviewers.

    In the new view you will see two lists on top of each other.

    Top list: Contains all assigned abstracts.

    Bottom list: Contains all available reviewers.

3. Step: In the upper list, select the abstracts to be transferred to the new reviewer for review. To select all abstracts at once, click on the top checkbox.

  1. Step: In the lower list, select the reviewer(s) to whom you want to transfer the assignments.

  2. Step: Ensure that "Transfer reviews" is selected under "Options for reallocation" (default).

  3. Confirm your selection by clicking Save reallocation.


    Result:

    All abstracts are now transferred to the new reviewer(s).


2.1 Case: Change allocation

  1. Step: Open the reviewer's detailed view by clicking on their name.
    The new view contains an overview of the assigned abstracts.

  2. Step: Select the Change allocation of reviewer button.

    The new view contains a list of all submitted abstracts. The currently assigned abstracts are already pre-selected by the checkbox.

    The abstracts are marked with a green or red dot.

    • Green dot: The abstract has the same focus as the reviewer(s)

    • Red dot: The abstract has a different focus than the reviewer(s)

  3. Step: Change the allocation by resetting or removing the checkboxes.

  4. Step: Save your selection by clicking Save allocation.


2.2 Change assignment in case of reviewer bias

Navigate to
> Abstracts & Reviews
> Manage reviews
> Reviewers in process

In the view you will find the list of reviewers and a note if there is one or more abstracts with a conflict of interest.

  1. First step: Open the detailed view of the reviewer by clicking on their name.

    The abstract for which there is a conflict of interest is highlighted in orange:

  2. Second step: Select the button Transfer or copy to different reviewer

    In the new view you will see two lists on top of each other.

    Top list: Contains all assigned abstracts. Conflicting abstracts (highlighted in orange) are pre-selected for reassignment via the check box.

    Lower list: Contains all available reviewers.

  1. Step: Select the reviewer(s) to review the abstract from the list below. Please note the following:

    > Green dot: Reviewer is in the same field
    > Red dot: Reviewer is from a different field
    > Column 'Reviewed': Person has not yet 100% reviewed
    > Column 'Overlaps': The abstract to be transferred has not yet been assigned to the person.
    > Options for reassignment: The assignment will be transferred to the person and not copied.

    1. Step: Confirm your selection by Save allocation.

    2. Step: Reviewers with reassigned abstracts

      If necessary, notify reviewers by email that another abstract has been assigned to them.

Zuweisung trotz Befangenheit durchführen

You will receive a notification that one or more abstracts have not been assigned due to bias. The notification will appear if the reviewer submitted the abstract.

If you wish to assign the abstract despite the reviewer's bias, please proceed as follows

Select the "Allow allocation, even if the reviewer is the submitting author" option.
