Extend deadline
Submit abstract
As the organiser, you have the option of extending the regular abstract submission deadline at any time. Decide in advance whether you want to extend the deadline:
extend officially
extend unofficially
Official deadline extension
Navigate to
> Settings
> Deadlines
Select "Regular abstract submission" and set the desired deadline; confirm by clicking the Save button.
Ensure that:
a) the new deadline is visible:
To do this, scroll down and check the corresponding setting "visible":
b) the new deadline is communicated in the guidelines:
Navigate to
> Settings
> Text templates
> Guidelines
If the placeholder [[Regular deadline]] is used in the guidelines, the new deadline will be applied automatically.
Alternatively, you can insert the deadline as a date directly in the guidelines, e.g.
Sunday, 24 December 2026, 23:59 (CET).
Unofficial deadline extension
Would you like to start planning after the regular deadline and keep the system open for abstract submissions unofficially? If so, proceed as follows:
Navigate to
> Settings
> Deadlines
Select "Deadline – Regular abstract submission".
Then set the desired deadline and confirm by clicking the Save button.
Ensure that:
a) the new deadline is not visible:
To do this, scroll down and check the relevant setting "invisible":
b) the new deadline appears in the guidelines:
Navigate to
> Settings
> Text templates
> Guidelines
If the placeholder [[Regular deadline]] is used in the guidelines, delete it and replace it with the date of the regular deadline, e.g. Wednesday, December 24, 2025 (midnight, CET).
c) anyone using the late abstract submission receives the direct link to the login page:
When the review process begins, a gate page is placed between the login pages for submitters and reviewers. This page contains information stating that the system is closed:
Therefore, send this direct link to the login page to the relevant persons (you will receive this link as an organiser when you select the abstract submission "Login" button).
