Late-Breaking Abstracts

Late-breaking abstracts allow for an additional submission round after the regular deadline has passed. They are intended for contributions whose content was unavailable at the time of the regular deadline, and enable short-term scientific developments to be considered shortly before the conference.

To submit a late-breaking abstract, please follow these steps:

1. Set a deadline

Navigate to
> Settings
> Deadlines


Activate the "Late Breaking Abstract Deadline" in the first step:

Then set the desired date.

2. Customise guidelines

In the "Settings" section, switch to:
> Text templates
> Guidelines


and adjust the guidelines.
You can use the placeholder function for the deadline date to ensure that the date in the guidelines is always correct, even if you extend the deadline.

3. Other system adjustments
At least one adjustment must be made to the system by Smart Abstract. We can implement this for you at a minimal additional cost, depending on the preparation required. Please contact us for more information!

4. Email us the text (including the heading and the main content) that you would like to appear on the login gate page.


4.1 Customising the text on the login gate page
When the evaluation process begins, an additional page is inserted between the login pages for submitters and evaluators. This page contains a message stating that the system is closed.

5. Customise the submission form (optional).
Check whether the abstract submission form needs to be customised, and if so, let us know what changes you would like to make.

  • Should all types of presentations be offered, or only posters, for example?

  • Should submissions be offered for all topics?

  • Is it still possible to participate in all competitions?
