Automatically allocation
You want to assign abstracts and reviewers according to topic and quantity, e.g:
each abstract should be reviewed 3 times
each reviewer receives a maximum of 20 abstracts from their own subject area
Precondition:
Reviewers are assigned to one or more topics. Topics can be assigned via Smart Abstract import or manually in the backend: Gutachter:innen Themen zuweisen.
Navigate to
> Abstracts & Reviews
> Menage reviews
> Reviewers <–> Abstracts
Step 1: Filter by topic
In the view you will find
> on the left: the list of reviewers
> on the right: the list of abstracts
To see only the reviewers and abstracts for a specific topic, use the filter:
Leave the "Connect selection" check box selected
Open the Topic Browser by clicking "Select from List"
In the new window, select one or more topics.
Save your selection
Confirm your selection by clicking "Filter by selected criteria"
Step 2: Define quantities
Click on the "Automatic Allocation" link
Enter the desired number of allocations in the fields:
Confirm your entry by clicking on "Assign automatically"
Step 3: Re-allocation
In this allocation process, there are imbalances in the distribution of the abstracts to be reviewed among the reviewers. The following procedure is recommended to adjust the distribution:

Example: Calculate distribution
Suppose there are 20 abstracts on a topic with 3 reviewers.
Each abstract will be reviewed 3 times. This means that there must be 3x20, or 60 reviews.
The 60 reviews are distributed among the 3 reviewers, so that each reviewer has to review 20 abstracts.
Assignment despite bias
You will be notified that one or more abstracts have not been assigned due to bias. The notification will appear if the reviewer submitted the abstract.
If you wish to assign the abstract despite the reviewer's bias, proceed as follows:
Check the option "Perform assignment even if the reviewer is an author of a submission".
Check the result
In the list of reviewers, the "Abstracts" column shows the number of assigned abstracts.
In the abstract list, the "RV" column shows the number of assigned reviewers.
